Digital tools should fit the way you work
It is easy to build a process around the limitations of a tool. A more useful approach starts with the people doing the work and the result they need.
Describe a normal day
Choose a real task and write down where it starts, what information is needed and how someone knows it is complete. Include the small interruptions: a missing file, a question in another chat or an approval that arrives late.
Keep the useful constraints
A simple process still needs clear permissions and review. Decide which steps can happen automatically and which need a person. Make the current status visible so that convenience does not hide important decisions.
Choose a small first version
A useful first version should solve a specific problem and be understandable to the people using it. Ask whether it reduces repeated effort, makes the next action clearer and leaves a sensible path for changes.
A website or digital system can grow over time. Starting with a coherent process gives those later additions something reliable to build on.
